How to access occupied units in the case of emergencies (flood, fire, etc.)
Accessing Units in Case of Emergency
In emergency situations, such as fires, floods, or medical crises, facility managers or emergency responders may need to access an occupied storage unit immediately, even without prior tenant authorization. The Nokē Smart Entry system includes a specialized feature called Emergency Unlock to facilitate authorized access in these critical circumstances.
Steps for Accessing Occupied Units in Emergencies:
1. Log In to the Manager's Mobile App
- Open the Nokē Manager Mobile App.
- Navigate to the Entry page by tapping the Storage Door Icon.
2. Select the Desired Unit
- Browse through the list of units to locate the occupied unit that requires emergency access.
- Tap on the unit to view more details.
3. Initiate Emergency Unlock
- Scroll to the bottom of the Unit Details screen.
- Tap the ‘Unlock’ button.
- A pop-up will appear, indicating that the unit is occupied and asking how you would like to proceed.
Note: The ‘Access Emergency Unlock’ permission is required to complete this action.
4. Select Emergency Access
- If immediate access is necessary and contacting the tenant is not possible, tap ‘Emergency’ to proceed.
5. Provide Reason for Emergency Access
- You will be prompted to choose a reason for requesting emergency access.
- Select the appropriate reason from the options available, such as:
- Flood
- Fire
- Tenant Locked Phone in Unit
- Other (If 'Other' is chosen, you'll need to enter additional details.)
The reason will be included in the text notification sent to the tenant.
6. Notification to Tenant
- Once the reason is selected, a text message is sent to the tenant informing them of the emergency access request.
- Simultaneously, the system will grant the manager or emergency responder a one-time unlock option.
7. Unlock the Unit
- After sending the unlock command, you have a 10-second window to unlock the unit.
- Ensure that someone is present at the unit to unlock it within this time frame.
Important Considerations:
- Use Emergency Unlock Responsibly
- Emergency Unlock should be reserved for genuine emergencies where immediate access is crucial.
- Tenant Notification
- It's important to inform the tenant clearly about the reason for the emergency access. This is done through the text message they receive, which will include the reason selected (e.g., ‘Fire’, ‘Flood’, etc.).
- One-Time Access
- The Emergency Unlock feature grants one-time access to the unit. After that, future access requests will require tenant approval.
- Window for Unit Access
- Once the unlock command is sent, there is a 10-second window for the unit to be unlocked. Ensure that the team or responder is ready at the unit during this time.
Additional Notes for Emergency Responders:
-
Emergency Responders' Authority: In critical scenarios, such as fires or medical emergencies, emergency responders (e.g., fire departments) have the authority to take necessary actions, which may include forcibly breaching locks or doors if Emergency Unlock is not available or sufficient.
-
Facility Manager's Role: Facility managers should cooperate with emergency responders and assist them as needed to ensure swift access to occupied units during emergencies.
By following these procedures and understanding the Emergency Unlock process, facility managers and emergency responders can manage emergency access effectively, while ensuring tenant safety and security are prioritized.
